About Scandinavian Society of Periodontology
Scandinavian Society of Periodontology was founded at a meeting in Gothenburg on April 22, 1972 (see: Jacobson L, Theilade J. The Scandinavian Contribution to Modern Periodontology, ScSP 1998)
Today, with it’s over 150 members, the society plays an important role in promoting continuing education and training in periodontology for the Scandinavian periodontists, while protecting the Scandinavian traditions and visions.
As stated in its constitution, the primary objective of The Scandinavian Society of Periodontology is to promote and further the development of the clinical and scientific position of Periodontology in The Nordic countries, Denmark, Iceland, Finland, Norway and Sweden) through objective information by:
- uniting people actively working within the field of Periodontology
- promoting research activity in periodontology and bordering disciplines
- conveying knowledge on the etiology, therapy and prevention of periodontal diseases including the influence of periodontal diseases in general medical conditions as well as general medical conditions influence on periodontal diseases to members and the general public
- organizing periodontal meetings
- encouraging courses, meeting activities and publication within the field of Periodontology and bordering disciplines
- promoting cooperation within the field of Periodontology through international contact and joint venture with other national or regional societies of similar nature.

Objective
§ 1
The primary objective of the Scandinavian Society of Periodontology (ScSP) is to promote the clinical and scientific impact and further development of periodontology in Nordic countries by
uniting people actively working within the field of periodontology,
promoting periodontal research,
conveying knowledge on the etiology, therapy and prevention of periodontal diseases to members and the general public,
organizing periodontal meetings,
encouraging meeting activities and publication within the field of periodontology,
promoting international cooperation within the field of periodontology through contact and joint venture with other national or regional societies of similar nature.

Membership and eligibility
§ 2
The Society consists of ordinary, senior and honorary members.
§ 3
Ordinary membership can be applied via the Society’s webpage.
Any dentist or scientist who has taken a special interest in clinical, educational or research aspects of periodontology in Nordic (including Baltic) countries is eligible as an ordinary member.
In addition, dental hygienists may apply an affiliated membership. An affiliated membership does not include the right to vote in General Assembly nor serving as a Board member.
§ 4
Members who have had status as an ordinary member for at least consecutive 10 years and have been completely retired from the profession can apply for a senior membership. Senior members pay a reduced annual fee and will not receive the journal of the Society.
§ 5
Honorary members are proposed by the Board, or after a written proposal from at least two ordinary members, and elected by the General Assembly. Colleagues with a considerable activity within periodontology through research or other activities in Nordic countries are eligible as honorary members.

Business year
§ 6
The business period of the Society is from January 1 to December 31.

The Society is governed by the General Assembly and the (Executive) Board.

Society meetings - General Assembly
§ 8
A ScSP Congress with a scientific program and the General Assembly is held during each President’s office period. The venue rotates between the countries. Announcement of the General Assembly, order of business and nominations for elections is made at least six weeks in advance.
The General Assembly consists of the members present at the announced time and place. The General Assembly has decisive power, if it has been announced according to the Constitution. Voting through proxy is not legal. Decisions are carried by open vote, unless a secret ballot is requested. If a vote is tie, the matter is solved by lottery. An extraordinary General Assembly can be summoned by the Board or requested by 10 % of the members of the Society. Same rules as above apply to an extraordinary General Assembly.
In addition to ScSP congresses, the Society’s Board considers promoting joint ventures with national or regional societies within periodontology in Nordic countries.
§ 9
The order of business at the General Assembly (GA) shall include the following:
a) Election of a chairperson and two reviewers
b) Registering of the members present at GA
c) Approval of the agenda
d) Report of the Board on the business years since the last GA
e) Report of the Treasurer and the Auditors
f) Release of the Board from liability
g) Determining the budget and membership fee for succeeding business years
h) Elections of the officers for succeeding business years
i) The next ScSP congress and GA
j) Any other business

The Board
§ 11
The Board, which is the executive organ of the Society, is composed of six members, including one representative of Denmark, Finland, Norway and Sweden and, in addition, the General Secretary and the Treasurer. The duties of the country representatives circulate as follows: President, 1st Vice President, 2nd Vice President and Past President. For handling the Society’s financial issues, power of attorney is conferred on the Treasurer and the President. The power of attorney gives them individually the full responsibility of signing on behalf of the Society.
Each country representative can be re-elected at most three times. The work period for General Secretary and Treasurer is four years and their re-election is not limited.
The Board is responsible for the Society's ongoing business and for Society’s meetings, including the scientific program. The Board calls for General Assembly as well as appoints three judges for the Jens Wærhaug Research Prize Committee among the Board members.
At least one ordinary Board meeting is held every year. Additional Board meetings can be held at the request of at least three Board members. To have decisive power, all country representatives need to be present or at least have remote connection during the Board meeting.

Auditors
§ 12
Two auditors are elected for the period between two General Assemblies. The office period can be renewed three times.

Electoral Committee
§ 13
The Electoral Committee consists of four members, one from Denmark, Finland, Norway and Sweden. The longest standing person acts as the chairperson. The office period can be renewed three times.

Duties of the Society’s officers
§ 14
The President's duties are:
to represent the Society, defend its interest and guard its decisions,
to prepare, in cooperation with the General Secretary, the agenda for board meetings,
to act as chairperson in meetings and negotiations within the Society and the Board except when a separate person has been elected to lead the General Assembly,
to be responsible for arranging, in cooperation with the Board, the scientific program of the ScSP Congress.
The Vice-presidents' duties are:
to assume the responsibilities of the President in his/her absence.
The General Secretary's duties are:
to prepare the agenda for the Board meetings and General Assembly and announce them in due time,
to contact and inform the Electoral committee on changes and need for replacements before the General Assembly,
to prepare the Board report, in cooperation with the President, on the period between two General Assemblies to be presented at General Assembly,
to prepare the minutes of the Board meetings and General Assembly,
to distribute the minutes of General Assembly to the two reviewers (scrutinisers) for acceptance. After accepted, the minutes are published on the Society’s webpage,
to maintain the Society’s webpage,
to keep the archives of the Society.
The Treasurer's duties are:
to keep the accounts of the Society,
to maintain a list of paying members of the Society,
to be responsible for correspondence and negotiations with the publisher of the Society’s journal,
to submit the financial records to the Auditors at the closing of the financial year, no later than March 31,
to advise members, in due time, on the payment of membership fees for the succeeding year,
to prepare annual budget and suggest membership fees.
The Auditors' duties are:
to investigate the dispositions of the Board during the period between two General Assemblies,
to prepare the audit report (revisionsberättelse) for the General Assembly.
The Electoral Committee's duties are:
to present propositions of elections according to the Constitution.

Dues and fees
§ 15
Ordinary and senior members pay an annual fee determined by the General Assembly. New members of the Society pay an additional entrance fee, which is determined by the General Assembly. Fees not received in due time will be claimed for immediate payment by the Treasurer. Members who have failed to pay their membership fee by March 31 are considered to have terminated membership and will not receive the Society’s journal. In special cases, such as illness, the Board can grant a total or partial exemption from annual fees.

Amendments
§ 16
This Constitution may be amended by two thirds of majority, provided that the General Assembly has decisive power. Proposed amendments shall be submitted six weeks in advance, usually in connection with the call for the General Assembly.

Disbanding
§ 17
Disbanding of the Society requires a decision made at the General Assembly. The subject must be announced in a previously submitted agenda. Any financial assets of the Society must be donated to purposes related to periodontology.
